[00:12] really excited to to have you be here.
[00:15] Uh and uh while you're getting settled
[00:18] in, if you can post which library you're
[00:21] from as well as which state you're
[00:24] coming from or country if you are uh out
[00:26] of the US and we'd be uh we'd love to
[00:29] hear who's joining us today.

[01:04] Jessica uh with Bywater and and
[01:06] co-hosting this webinar about
[01:08] streamlining everyday circulation and
[01:10] workflows uh in Koha with RFID. Um so
[01:14] with that, I'll uh introduce myself. So
[01:19] I'm Mason Humphrey. I'm the commercial
[01:21] director here at Bibliotecha. And so my
[01:24] role is really to to work with our uh
[01:27] frontline staff, to work with our
[01:30] customers, but then also work with our
[01:33] partners who are so crucial to making
[01:35] sure that your lives and the technology
[01:38] that you're using works seamlessly
[01:40] together. Um and so with that, um we've
[01:42] been working closely with Jessica, uh By
[01:45] Water. I'll let her introduce herself.
[01:48] >> Thank you, Mason. Um hi everyone. My
[01:51] name is Jesse Zaro. I am the VP of
[01:53] strategic partnerships at Bywater
[01:55] Solutions. Um hello to I see several of
[01:58] our partners in the chat. Um we are very
[02:01] excited to be working here with
[02:02] Bibliotecha to offer a more streamline
[02:05] process for RFID. Um we provide support
[02:10] for Kohaa, which is the open- source
[02:12] ILS. Um, and we work very closely with
[02:15] our library partners to make sure that
[02:18] processes are smooth and we're grateful
[02:21] for the work that our friends have done
[02:23] um, to make that process easier for
[02:26] those of you that are using Bibliotech
[02:28] with Koha. So, we're excited to show you
[02:30] the work that our team and Bibliotech's
[02:32] team have done today.
[02:34] >> Absolutely. All right. So, uh, quick
[02:38] agenda. Um we're just going to go
[02:40] through why we partnered why why did we
[02:43] make all this effort uh to put this
[02:45] integration together um and really the
[02:47] the challenge that we heard uh from you
[02:50] all from a lot of our libraries over
[02:52] those years and then kind of the
[02:54] solution we put together as it stands
[02:56] today. Uh we'll jump into the fun stuff,
[02:58] the live demonstration. Uh so really
[03:01] highlight a couple different workflows,
[03:03] how this is going to make a big impact
[03:05] for you all, and then we'll uh jump in
[03:08] and do some Q&A. So any questions that
[03:10] you might have, we also do have uh one
[03:13] of our product managers from Bibliotech
[03:14] on the call who can talk through this
[03:16] integration or any more in-depth
[03:18] questions. Um but yeah, would love to to
[03:21] have some interaction and excited to to
[03:23] show you all today.
[03:26] All right. So, with that, why we
[03:29] partnered um you know, By Water
[03:32] Solutions has has been my favorite
[03:34] partner to work with just because they
[03:36] they have you all in mind. Um really
[03:39] when we started uh this discussion uh it
[03:43] was over a year ago. We we're talking
[03:45] about what are the biggest pain points
[03:47] that our mutual customers have and uh
[03:51] we'll talk about some of the the
[03:52] information that we gathered from you
[03:54] all around that. But with Bywater, you
[03:56] know, they really help you all take
[03:58] control of your technology and the
[04:00] patron experience in so many ways.
[04:03] Whereas here on the Bibliotecha side of
[04:05] things, we lead the library industry in
[04:08] in efficiency solutions, RFID workflows,
[04:12] integrations, making sure we're playing
[04:14] well with uh with those technology
[04:17] companies that you're working with
[04:18] today. Um, and really we built a
[04:21] practical RFID integration for Kofa
[04:25] libraries. It it's pretty fantastic.
[04:27] Again, I'm excited to show you because
[04:29] we we talked through the workflows. We
[04:32] talked through some libraries and what
[04:33] they saw and really came up with
[04:35] something that's going to be a fantastic
[04:37] benefit. Um, so really what this is
[04:39] going to be is it's going to allow you
[04:40] to complete daily circulation tasks a
[04:43] lot faster, uh, with a lot more accuracy
[04:46] and with less manual handling. Uh, I
[04:49] can't tell you how many libraries I've
[04:50] heard that use the RFID pad but still
[04:53] only put one down at a time just so that
[04:55] they don't mishandle items. Um, and so
[04:58] this is going to completely change that
[05:01] and really result in a smoother
[05:03] experience for both staff and patrons.
[05:05] You can finally fully utilize the RFID
[05:08] solution uh and the the Koha solution
[05:11] from by water. So that was that was a
[05:14] little bit about why we partnered um and
[05:17] why this partnership works so well. But
[05:20] um I'm going to uh I'm going to pass it
[05:22] over to to Jessica. I don't know how
[05:25] many of you all have desks that look
[05:26] like this at your library. I've seen a
[05:29] couple of them. Um, so it can get pretty
[05:31] hectic as the goal is to be able to help
[05:34] reduce this clutter and and move items
[05:36] uh through your workstation pretty
[05:38] quickly. Um, so with that, I'll pass it
[05:40] over to you, Jessica.
[05:42] >> Excellent. Thanks, Mason. Um, I
[05:45] remembered the first time I met Mason.
[05:47] He joined us for a Monday minutes that
[05:49] went out to all of our Kohha libraries
[05:51] and we just talked about the work that
[05:52] we do together. And as a librarian, when
[05:56] I attended ALA, as a librarian, I would
[05:59] get to meet with vendors and talk about
[06:01] all the different things. Now that I'm
[06:03] on the vendor side, I get to work with
[06:05] vendors and talk about how we can make
[06:07] our product products better through
[06:09] integration. And actually at the last
[06:11] ALA, we got together with Mason and Dan
[06:14] and we sat down and said, "What can we
[06:16] do? Here are some of the challenges that
[06:18] we're facing. What are ways we can make
[06:20] this better?" And so this allowed us to
[06:23] sit down and talk about things like
[06:26] holds, pop-ups that cause an
[06:28] interruption as we're trying to work
[06:30] through the workflow. Especially when
[06:32] you have a family walk up to the desk,
[06:34] you have lots of items. You don't want
[06:36] to get stuck there. And so we thought
[06:38] about all of these things and how we
[06:40] could make it easier for staff to
[06:42] process items efficiently and quickly as
[06:45] we see those lines build up. So we're
[06:48] really excited to see uh the
[06:50] enhancements that we have because we
[06:52] listen to our partners um and now we
[06:55] have um an option here to show you that
[06:57] will make things more efficient.
[07:00] >> Absolutely. You know, it's funny. I
[07:02] remember when I started with Bibliotech
[07:05] over 10 years ago. Um, and I was a a
[07:09] count executive out in California and I
[07:10] walked into Corona Public Library uh who
[07:13] is using Koha and I still I looked back
[07:16] uh just earlier this week. I have videos
[07:17] that I took when I was on site. I was
[07:19] still young and green and didn't know
[07:22] very much. But what I did see was uh it
[07:25] seemed like a broken workflow where they
[07:27] were trying to process lots of items and
[07:30] they had RFID and I was like, "Wow,
[07:31] great. So, you just throw everything on
[07:32] the pad. And they're like, "No, we just
[07:35] take one item, we put it on there, it
[07:37] gets processed, and we moved on." And I
[07:38] was like, "This there's something just
[07:41] not working here." And um that's stuck
[07:43] in my mind all these years. So, I'm
[07:46] really really excited to be able to uh
[07:49] show what this is going to do and and
[07:51] that we're finally here and with a
[07:53] fantastic partner like By Water to to
[07:55] make it happen.
[07:57] All right. So, what did we build? Um, so
[08:00] we built a solution that basically runs
[08:04] as a plug-in in the background. Um, what
[08:06] I'm going to show you behind me here in
[08:08] a second is um, running that web
[08:11] interface of Koha. Um, it has a plugin
[08:14] on. You'll see a couple popups, but
[08:17] basically this is going to just work in
[08:18] the background. So you don't have to
[08:20] worry about sitting there saying, "Hey,
[08:21] I'm in the checkout screen or I'm in the
[08:23] check-in screen or anything like that."
[08:26] It's just going to know. and Koha is
[08:28] going to control that RFID pad. Um, so
[08:31] you'll be able to work in Koha. The RFID
[08:34] pad will follow. Um, and this is a
[08:37] Windows PC integration. So, um, with
[08:40] you're running the Windows PC, you've
[08:42] got the RFID pad plugged into it. Um,
[08:45] and then you're going to have a piece of
[08:46] software running in the background and
[08:48] all this is going to work se seamlessly.
[08:50] Uh the really cool thing and again we we
[08:52] talked with a lot of libraries and this
[08:54] was something that the Bywater team
[08:56] brought up is we work with a lot of
[08:58] libraries that some have RFID some
[09:00] don't. It's a mixed system. Um so let's
[09:03] allow this plugin to be customized by
[09:05] location. Uh so you can see on the left
[09:07] hand side here where you can enable or
[09:10] disable that RFID plugin per location to
[09:14] just make it easy and streamlined and
[09:16] not confusing for staff.
[09:18] Um, this will allow you to do checkout,
[09:22] bulk checkout, returns, and bulk returns
[09:26] as well as renewals. Um, so being able
[09:29] to just process a stack of items really
[09:32] quickly. Um, you would have those popups
[09:35] that let you let you know um what's been
[09:38] processed, what hasn't, and then what
[09:40] needs attention. And then uh another
[09:42] really cool thing, which I'll show in a
[09:44] second, is it actually keeps a memory
[09:46] cache. So you might be processing a
[09:48] bunch of items and then obviously if you
[09:50] processed an item for checkout or
[09:52] checkin, you don't want to reprocess
[09:54] that item. So there is a way for this
[09:57] plugin to keep a memory of what's been
[09:59] processed. And then if any any point you
[10:02] say, "Hey, I I really want that uh to
[10:04] come back up or I need to clear the
[10:06] memory to reprocess an item," you're
[10:08] able to click a quick button and it does
[10:10] that for you. So again, something that
[10:14] really thought through the workflow
[10:15] processes and have created kind of a a
[10:18] fantastic seamless plugin for you all to
[10:21] use um at your library.
[10:26] And then uh just a little bit about the
[10:28] the hardware that we're using. So no
[10:30] matter if you're using um you know one
[10:33] of the Bibliotecha pieces of hardware uh
[10:35] the staff workstations you see on screen
[10:37] or if you have an older version of a
[10:39] Bibliotecha hardware solution um this
[10:42] should still work seamlessly but uh
[10:44] we've got two versions that we're
[10:46] offering a workstation USB on the lefth
[10:48] hand side that's basically all it needs
[10:50] is a USB plugin it's small it's portable
[10:53] otherwise I think what most libraries
[10:55] are using at their front desk is the
[10:57] workstation shielded so that's a little
[10:59] bit bigger has to be plugged into a
[11:01] wall, but has a higher read range. Um,
[11:03] and works really well even on uh metal
[11:06] uh desks or desks with metal inside of
[11:09] them.
[11:11] All right.
[11:13] And then so we can kind of jump right
[11:16] over into the live demo, the fun part of
[11:18] this. Um, so I'm going to stop sharing
[11:20] my screen. Uh, perfect. And then with
[11:24] that, um, I am going to show you. So,
[11:28] this is my demo station. I'm here in
[11:30] Minnesota where we've got all of our fun
[11:32] solutions that we provide. But, we also
[11:35] do have a staff workstation set up with
[11:38] a few different RFID pads. I made sure
[11:40] to make it a little bit messy. Um, just
[11:43] because that's usually what my desk uh
[11:45] at home looks like. Um, but I am working
[11:48] with our smaller USB workstation here.
[11:51] I've got the instance of uh the Koha
[11:54] solution brought up and then I'm going
[11:56] to share my screen so you can actually
[11:58] see uh a better image of what this is
[12:01] going to look like. Uh so with that I
[12:04] will share screen number two. We will
[12:07] jump out of this and uh you are now
[12:10] seeing the screen that is right behind
[12:12] me. So you can show when I process
[12:14] items. Um, so with this I have pulled up
[12:18] um Tina uh who is one of the patrons
[12:21] that just came up to my desk. Um I've in
[12:24] the checkout experience. So if I go
[12:27] through circulation I'm going into
[12:29] checkout. Um and then with that actually
[12:33] I will pull up sorry Tina.
[12:36] There she is. And now I'm in Tina's
[12:39] account. So there's a couple different
[12:40] options too.
[12:42] Uh oh let me see. Someone said they are
[12:45] not seeing my screen. Let me make sure
[12:48] this is working. Thank you.

[12:55] that comment. Um, very helpful. All
[12:57] right. So, now you can see my screen.
[12:59] Um, and uh I've got Tina pulled up here
[13:03] and there's of course a couple different
[13:05] options. I can be in this checkout tab.
[13:08] I can be in the batch checkout tab. Um,
[13:11] and so with that and this plugin, you'll
[13:13] notice here in the bottom right hand
[13:16] corner and the bottom lefthand corner,
[13:18] if this plugin is working properly, it's
[13:20] really easy to tell because you will see
[13:24] the RFID controls as well as the RFID
[13:28] barcodes here. Um, so with this there is
[13:32] a a program that's running in the
[13:33] background. So this is a program that
[13:35] you'd reach out to Bibliotecha. We would
[13:37] make sure that this is installed on the
[13:39] staff PC. Again, running in the
[13:41] background. Don't have to touch it, but
[13:43] this is what's talking to that plugin on
[13:45] the website. So, that's running in the
[13:47] background and I've got these really
[13:49] handy controls automatically popped up
[13:51] on the screen that I can drag around
[13:53] wherever I need them. Um, but with that,
[13:57] um, so I am here. I'm in the checkout
[14:00] screen. patron walks up and I'm going to
[14:04] set a few items down on the RFID pad
[14:07] here. So, when I set those items down,
[14:09] it's automatically going to read those
[14:13] items and then it's going to be checking
[14:16] them out and it's going to go through
[14:17] the process. Okay, I just checked out
[14:19] the first one. It's green. Second one,
[14:21] this is an item that has a claims return
[14:24] on it. Um, so right here, it just
[14:27] automatically pops up. I set the whole
[14:28] stack down. It's going through the
[14:30] process and says, "Oh, nope. I need to
[14:32] stop on this one." So, instead of
[14:33] breaking anything, it automatically
[14:35] stops. Um, and then I'm going to say
[14:37] yes, check out. And then perfect, those
[14:41] two items were just checked out. And you
[14:43] can see in the bottom left hand side
[14:47] this changed to process. And it shows
[14:49] that it has processed those two items.
[14:52] Now, one thing you'll notice too, maybe
[14:55] you didn't, I still have those items on
[14:57] the RFID pad. So, if I set those items
[15:01] back down, nothing happens. What it's
[15:04] doing, this is that memory cache in the
[15:06] background. It is saying, "Hey, these
[15:08] two items have already been processed.
[15:10] Don't continue to try and check these
[15:12] items out that are sitting on the RFID
[15:14] pad." So, it's it's pausing that and not
[15:18] letting it happen. But if I came up and
[15:20] I put another item down that wasn't in
[15:23] there, boom, now it checks that one out.
[15:25] So you can put a whole cache of items
[15:27] down, check those out, go through the
[15:30] process. Oh, they handed you another
[15:31] one. Perfect. Put that one down on the
[15:33] pad. But it's not trying to recheck out
[15:35] those first two. Um, so again, a really
[15:39] fantastic workflow where you can now
[15:41] just set a whole stack of items down on
[15:44] the RFID pad. it's going to go through
[15:46] and try and check out every single one
[15:47] of those and if it has an issue, it's
[15:50] going to stop the process. So, that's
[15:54] the one of the happy paths that really
[15:55] shows you how this works. Um, one of the
[15:59] other things, too, is the batch
[16:02] checkout.
[16:04] So, with this, I'm changing the screens.
[16:06] You notice in the bottom lefth hand
[16:07] side, it still shows me three items have
[16:11] been processed.
[16:13] Um, and then from here, I'm going to go
[16:16] and go into this batch checkup mode. So,
[16:19] I'm going to take a whole new stack of
[16:21] items,
[16:23] put these items down, put three items
[16:26] down, three of them popped up. Um, and
[16:29] then it gives me this information. Says,
[16:31] "Hey, there's one of these items um that
[16:35] has an issue on it. This item was
[16:37] checked out. Would you like to check it
[16:38] out?" Um, and then it's asking you to
[16:41] confirm.
[16:43] So, this is where on those two items I
[16:45] can confirm. So, the first one got
[16:46] checked out and these two items are now
[16:48] checked out to the patron after I made
[16:51] that interaction. So again, you can
[16:53] process a lot of items really quickly,
[16:55] whether it's in your regular checkout
[16:57] screen and you put those down and it
[16:59] cycles through each one or you go into
[17:01] batch checkout on someone's account, you
[17:03] put those down and it gives you a list
[17:05] of all those items with specific
[17:07] statuses and then lets you choose if you
[17:10] want to um continue with a checkout of
[17:13] multiple items instead of just one at a
[17:15] time kind of thing. So, so that right
[17:18] there kind of shows you the extent of at
[17:21] least the the integration and how easy
[17:23] it is to use. It's literally just
[17:24] putting the items down on the pad and
[17:27] it's working through the process in the
[17:29] back end. Um, to give you an example
[17:32] though, so with these items, if I
[17:35] renewed or reset the RFID as I just did,
[17:39] now it says, "Oh, okay. I'm going to go
[17:41] through and I'm going to now see all of
[17:45] these items." So, there would be a way
[17:48] to allow um and if I want to refresh for
[17:52] some reason, I'm saying, "Hey, I want
[17:53] these items to show back up um on as I'm
[17:57] processing, you can hit that reset
[17:59] button in the corner." It clears that
[18:00] cache and it says, "Okay, perfect. I'm
[18:02] going to see these items now kind of
[18:04] thing." So, some really fantastic
[18:07] workflows that lets you kind of resubmit
[18:11] um items through the process as needed.
[18:14] Um, but one of the other things I will
[18:17] show you as well is uh another thing
[18:21] that I think that's been uh a lot of
[18:22] libraries have asked for in the past.
[18:25] Um, and that is bulk checkin. So, I'm
[18:29] just going to go into the circulation
[18:30] tab. I'm going to go into check in and
[18:34] I'm on the screen as normally would.
[18:36] Instead of just setting one item down at
[18:38] a time, I'm going to put the stack of
[18:41] items down. And what it's doing is it's
[18:44] automatically going through those items,
[18:46] searching for them, and processing as
[18:49] needed. So with that, now you see that I
[18:52] can just put a stack down and it's going
[18:54] to go through the same process just like
[18:56] if it was trying to check out one at a
[18:58] time, but you get to sit there and it
[19:01] will just do the full checkin and
[19:03] processing of those items. So I'll show
[19:06] that again. I put two more items down.
[19:08] There you go. Now, it just checked in
[19:11] those two items and I put them on the
[19:13] pad and there they go. So, really
[19:16] fantastic, easy way to help with your
[19:19] workflows, allow you to process a lot of
[19:22] items really, really quickly. Um, and
[19:25] that's whether it's checkout, returns,
[19:27] all of the above. So, uh, with that,
[19:31] that's that's kind of everything that we
[19:33] had for the live demo. Um, and I am
[19:39] going to now pass it on to show uh,
[19:42] well, we're at the Q&A section and I
[19:44] think we've had quite a few questions
[19:45] coming in and I know we've got about 10
[19:47] minutes left. So, more than happy to to
[19:50] dive into some of those. Um, I guess
[19:52] Jessica, were there any that you saw uh
[19:54] that you want to help give a quick
[19:56] answer for?
[19:57] >> I do. I do. Um, so for our our current
[20:00] KohHigh users where Mason was showing
[20:02] you that batch checkout tab on the
[20:05] circulation screen of your patron. Um,
[20:07] if you don't have that enabled, that is
[20:10] a system preference. It is called batch
[20:12] checkouts and you can say allow or don't
[20:15] allow. And then there's a second system
[20:17] preference that ties in and that is
[20:19] batch checkouts valid categories. So you
[20:22] can turn it on for just certain patron
[20:24] categories. A lot of times people will
[20:26] do this especially for like your um
[20:29] children or youth when we have them walk
[20:31] in with those big stacks of picture
[20:33] books, you know, in the system. So you
[20:35] can set those two preferences. Somebody
[20:38] asked what version of Kha we're using.
[20:41] The sandbox that we have set here is
[20:43] 255. I waited to upgrade it until after
[20:47] um our demonstration today, but um it is
[20:49] a valid plugin for anything up to 2511.
[20:53] Of course, for those current users out
[20:55] there, 2605 just came out, so it will
[20:57] work for that as well.
[21:00] We had one more question about would
[21:03] there be a way to do a patron selfch
[21:05] checkckout um as a kiosk? Um so patrons
[21:09] can check out their own items on the
[21:10] floor. I'll speak for the Koha side and
[21:13] then I'll pass it back to Mason to speak
[21:15] for anything that they may have on their
[21:16] side. Uh, but if you do use Koha's
[21:20] selfch check, it would work just like
[21:22] Mason describes on the the screen here.
[21:25] Um, Koha does have a patron selfch
[21:28] checkout which is web- based and works
[21:30] very similar to the the way he described
[21:32] on screen today.
[21:36] >> And then on the the Bibliotecha side of
[21:38] things, so we do have that direct
[21:40] integration with Koha. Um, and our
[21:42] solutions are all uh all-in-one form
[21:44] factor uh self-service devices that uh
[21:47] you can have one that has all the bells
[21:49] and whistles and you can have one down
[21:50] to a tablet-based checkout unit and all
[21:53] of those would integrate with uh by
[21:56] water and koha. Um and they would allow
[21:59] and they do allow today uh bulk checkout
[22:02] and returns as well as quite a few other
[22:06] uh enhancements. So uh yeah.
[22:10] All right. Did we have any other uh

[22:34] >> Yeah, I can share. Um, first one would
[22:37] be, would there be a way to do a patron
[22:40] selfch checkout at um, a kiosk? So,
[22:44] patrons can check out their own items on
[22:47] the floor.
[22:49] >> Yep, that was the one that Jesse just
[22:51] answered.
[22:52] >> I will do the one here. What are the
[22:55] steps if we want to implement this? Do
[22:58] we need to install new software or just
[23:00] turn on some settings?
[23:03] >> Perfect. Yeah. So for um for getting the
[23:06] the backend uh software from Bibliotech,
[23:10] you we just need to get this added to
[23:11] your account. So um you would reach out
[23:14] to your Biblotech representative. Uh we
[23:17] will get this information sent out and
[23:19] you can reach out uh directly to myself
[23:22] um or Jesse. Otherwise, we'll make sure
[23:24] that anyone who's attending uh has the
[23:27] contact information so we can get this
[23:29] software added to the back end so that
[23:32] like I showed it's just running in the
[23:33] background on your staff computers and
[23:35] speaking with this plugin.
[23:38] >> Perfect answer. Uh does the security
[23:41] setting work with air ID items?
[23:46] >> Yes, ex. So, what happens is when you
[23:49] are checking those items in through uh
[23:53] the the web interface and you're on the
[23:55] check-in page, what it's doing is it's
[23:58] controlling the RFID pad to say, "Hey,
[24:00] turn security back on." Uh because
[24:01] they're checking items in. But then when
[24:03] I flip over to like the checkout or bulk
[24:06] checkout, what it's doing is it's on the
[24:08] back end telling the RFID pad, hey, turn
[24:11] security off. These items are being
[24:13] checked out. Um, so it's just
[24:15] dynamically doing that on the back end
[24:17] with those RFID items while it's also
[24:20] communicating uh with Koha and sending
[24:23] the information over and working through
[24:26] that workflow. So yeah, really excited
[24:27] that it it does all of that
[24:29] automatically and turns on and off
[24:31] security for those RFID items.
[24:34] Good. Um
[24:36] would you require SIP licensing
[24:40] licensing for the plug-in?
[24:46] Not for the the plugin. No, this is
